Morning batch, 6 am. The front desk is busy, the music is loud, and a regular member walks in with a friend. "Bhaiya, yeh mere saath hai, aaj bas try kar raha hai."

Once is fine. But the friend comes again the next day, and the day after that. He has become a member of your gym, only he never paid.

This is proxy attendance. One person is marked present, and somebody else trains. It happens in every gym, and most owners only notice it when the floor feels full but the collection does not.

What proxy attendance costs you

Say three people train regularly without their own membership, and your fee is ₹1,000 a month. That is ₹3,000 gone every month. Over a year that is ₹36,000, from just three people.

Money is not the only problem.

  • You do not know who is on your floor. If somebody gets hurt, you do not even have their phone number.
  • The person never filled your form and never heard your gym rules.
  • Your paying members see it, and some of them start asking why they should pay.

How proxy attendance happens

It is rarely planned. Usually it is one of these:

  • A friend walks in together with a member, and nobody checks the second person.
  • With a register, one member writes two names.
  • With a membership card, the card is simply given to a brother or a friend.
  • With a QR code that is printed on the wall, a photo of it is sent on WhatsApp.

Each one needs a different answer.

What really stops it

A fingerprint machine

It stops one person signing for another, that is true. But you buy it, somebody installs it, and sweaty fingers often do not scan. When it breaks, there is no attendance at all until the technician comes. And it still does not stop a friend from walking in behind the member.

A QR code that keeps changing

When the code is on a screen at the front desk and changes every few seconds, a photo on WhatsApp is useless. The member has to stand at the desk with their own phone. That closes the easiest gap.

The member's photo on the screen

This is the one most gyms are missing. When the member checks in, their photo comes up big on the front desk screen. Your staff only have to look up: is this the same face?

No machine, no extra cost, and no delay for honest members. It works the same for a QR code and for a card.

One rule for every guest

Every person on the floor is either a member or a guest who is written down. A friend who wants to try is welcome, but with a name and a phone number, and with a trial session that your staff know about.

When you catch it

This is where most owners make a mistake. They shout, the member feels insulted, and you lose both people.

  • Talk quietly, not in front of the whole batch.
  • Do not accuse. "Bhai, aapka naam kya hai? Pehli baar aaye ho?" is enough.
  • Offer the friend a trial, today, and write down the name and number.
  • Talk to the member later, alone, and keep it friendly.

Remember, the friend clearly likes your gym. That is not a cheat, that is an enquiry. Follow up like you would with anyone who asks about your fees.

A short checklist

  1. Use a QR code that changes, not one printed on the wall.
  2. Add a photo for every member.
  3. Write down every guest with name and phone number.
  4. Turn every guest into an enquiry and follow up.
  5. Talk to the member in private, never in front of others.

How Tresenly helps

In Tresenly you add a member's photo on their member page. Take it with the phone or tablet at the front desk, or choose a photo they send you.

With every check-in the photo comes up on the front desk screen, big enough to see from across the room, next to green, yellow or red. The QR code on the screen changes every half minute, so a photo of it on WhatsApp will not work. If a member has a card, the photo shows when they tap it too.

When a friend wants to try, save them under enquiries with name and number. When they join, one tap turns the enquiry into a member, and you add their photo the same day.
