Someone walks in, looks around and asks: "Monthly kitna hai?" You tell them the fees, show them the floor, and they say the famous line: "Theek hai, soch ke batata hoon."
Then they leave. And in most gyms, that is the end of the story.
But "soch ke batata hoon" is not a no. It is a maybe that is waiting for somebody to ask again. The gym that asks again gets the member.
Why enquiries get lost
You already pay for every enquiry: the banner outside, the Instagram posts, the offer you printed. Each person who asks about joining has cost you something.
They still get lost, for simple reasons.
- The number was saved in somebody's personal phone as "Gym enquiry 3".
- It was written on a slip that is now somewhere in a drawer.
- Everybody thought somebody else would call.
- Nobody remembers which day the person said they would decide.
It is not laziness. A busy front desk just cannot keep twenty open conversations in its head.
1. Write down every enquiry, on the spot
Every single one, whether it comes by walk-in, phone call, WhatsApp or Instagram message. You only need four things:
- The name
- The mobile number
- What they are interested in, for example a quarterly plan or personal training
- How they heard about you
The fourth one looks small, but after a few months it tells you what is actually working. If most of your members come through a friend and almost none through the flyer, you know where to spend next time.
2. Fix the follow-up day before they leave
Ask directly: "Kab tak bata denge? Shall I message you on Saturday?" Almost everybody says yes.
Now you have a date and permission. A message on Saturday is not disturbing anyone. It is exactly what you both agreed on.
3. Send the first message the same day
Do not wait for Saturday for the first contact. Send a short thank you on the same evening:
"Hi Vikram, thanks for visiting us today. This is the gym's number, message here any time if you have a question. See you soon!"
Now your number is saved in their phone, and your gym is the one they remember.
4. Follow up on the right day, and then once more
On the agreed day, send the follow-up. Do not push and do not offer a discount in the first line. Just ask:
"Hi Vikram, you wanted to decide about the membership by today. Koi sawaal ho toh bata dijiye. Shall I keep a spot for you from Monday?"
If there is no answer, try one more time after a few days. Two polite follow-ups are good service. Five are spam.
5. Offer something small that makes it easy to say yes
A person who is unsure does not need a lower price first. They need a smaller first step.
- A free trial workout
- A meeting with the trainer to talk about their goal
- A one month plan before a longer one
Ek baar aa jaye, toh join karna aasaan ho jata hai.
6. Close every enquiry, one way or the other
Every enquiry should end as joined or as lost. Do not let it stay open forever.
Lost is not a failure. It keeps your list honest, so your staff spend their time on the people who may still join. And somebody who said no in October can get a friendly message again in January, when everybody remembers their fitness goals.
7. Check the list every morning
Make it part of opening the gym: who do we follow up with today? If the list is short and clear, it takes five minutes. Those five minutes are often worth more than a whole week of new advertising.
